Administrative Policy for use of Facilities Space at St. Francis of Assisi
Purpose:
To provide guidelines for the allocation of limited space at St. Francis of Assisi parish.
Definitions:
Church Ministry: A Church Ministry (CM) is any ministry, activity, or event that is constituent of the mission of the Catholic Church carried out in the parish and for which a professional paid staff member is required. Activities or events that are not related to a specific group, but involve the entire parish may be included under Church Ministry
Parish Based Group: A Parish Based Group (PBG) is any approved group or ministry arising from and based solely at St. Francis of Assisi parish.
Parish Based Affiliate Group: A Parish Based Affiliate Group (PBAG) is an approved St. Francis ministry that is a part of a larger entity. The PBAG has characteristics of both a parish based group and a non-parish based group.
Non-Parish Based Groups: A Non-Parish Based Group (NPBG) is any group, ecclesial or otherwise, not associated with St. Francis of Assisi parish.
Private Groups or Individuals: Private groups or individuals (PGI’s) are families, groups of friends, or individuals who request space at St. Francis of a private activity or event.

Policy:
Reservation of Space
- CM related activities always have priority of the use of space.
- The pastor, clergy, and parish staff will hold an annual calendar meeting to secure space for the necessary work of the parish. Once these items are secured, space can be opened up to PBG’s.
- CM reservations can be surrendered at the discretion of the responsible staff person(s) to other parish activities.
- PBG’s may request space for their meetings, subject to availability and with respect to the needs of other PBG’s.
- PBG’s whose work relates more closely with Church ministry will be given preference within reason.
- PBAG’s will be treated more closely to a PBG when the request for space is for members of the St. Francis group or activity only.
- PBAG’s will be treated more closely to a NPBG when the request for space involves the larger entity of which the PBAG is a part.
- NPBG’s requests for space is strictly subject to availability after PBG’s and PBAG’s and may be subject to fees (see below).
- NPBG’s and PBAG’s must have adequate insurance coverage if applicable.
- NPBG’s and PBAG’s must sign a waiver releasing St. Francis of any liability.
- St. Francis does not make space available to PGI’s.
Facility General Rules
1. Please Stack chairs after use.
2. Wipe down tables if there is food or drink used in the room.
3. Be considerate of other visitors and ministries, please keep noise at an acceptable level.
4. Dispose of trash properly. If you had a large event all trash should be taken to the dumpster outside.
5. If you need cleaning supplies, they are located in the Custodial Closet. (Small room across nursery) Please put all supplies back in the appropriate closets.
6. Tables, chair dollies and ladders are available in the Utility Storage Room. (Small room by the kitchen)
7. If you need further assistance please contact your staff liaison.
